Job Description
About the Role:
Reporting to a highly supportive Financial Controller, you’ll play a key role in supporting the Accounts team and departmental managers across all dealership administration functions.
Your responsibilities will include:
Preparing daily banking and allocating funds
Processing and authorising supplier invoices and payments
Managing invoices and creditor reconciliations with accuracy and compliance
Handling customer and supplier enquiries with professionalism and efficiency
Reconciling OEM payments and warranty claims
Working closely with Sales, Service, and Parts to ensure accurate documentation
Preparing weekly and monthly debtor reports
Assisting with financial statements, reports, and schedules
Preparing documentation for New/Pre-Owned vehicle deliveries
Ensuring all paperwork is complete, compliant, and correctly filed
Maintaining accurate records in the dealership DMS
Supporting the Financial Controller and Accountant with ad hoc tasks
Desired Skills and Experience
About You:
Experience in an administrative role, ideally within a dealership
Also ideal for candidates from other dealership departments looking to transition (training provided)
Exceptional organisational skills and attention to detail
Strong written and verbal communication abilities
Comfortable working autonomously and taking ownership of your workload
Proficient with MS Office (Word, Excel, Outlook)
Experience with dealership management systems (ERA) is advantageous
High integrity, confidentiality, and professionalism
Friendly, positive, and committed to delivering excellent customer service
Valid Victorian Driver’s Licence required
